What you'll need

  • An Instagram professional (Business or Creator) account
  • Your Instagram account connected to the correct Meta Business/Page setup
  • Access to Meta Business Suite; desktop is easiest for finding Inbox automations
  • A realistic response-time promise and, optionally, your booking or inquiry link

Fix it

Open Meta Business Suite and choose the right business

Sign in to Meta Business Suite and confirm you're working inside the business/Page connected to the Instagram account you want to automate.

Keep in mind: If Instagram is not available as a channel later, check that the correct professional Instagram account is connected to this business.

Open Inbox → Automations

From the left navigation, open Inbox. Look for Automations near the top of the inbox. Meta sometimes changes labels or placement, but the feature should live with the Inbox messaging controls.

Keep in mind: If you can't find Automations in the mobile app, try Meta Business Suite on desktop.

Choose Instant Reply

Open or create an Instant Reply automation. This is the simple built-in response meant to acknowledge a new message before you personally answer it.

Keep in mind: Start here before building anything complicated. For many solo businesses, an acknowledgement plus a clear next step solves the immediate problem.

Select Instagram as the channel

Turn the Instant Reply on and make sure Instagram is selected. If Messenger is also listed, leave it selected only if you want the same response there too.

Keep in mind: Double-check the Instagram account shown before saving.

Write a useful first response

Keep it short: acknowledge the message, tell them when they can expect a personal response, and give one useful next step. Example: “Hey! Thanks for reaching out 👋 I’m probably with a client or creating right now, but I’ve got your message. I usually reply within one business day. If you’re asking about booking, send the service + preferred date, or use my inquiry link here: [link].”

Keep in mind: Don't make the automation pretend to be you actively chatting. Its job is to keep a warm lead from wondering whether anyone saw the message.

Save and turn it on

Review the message, channel and toggle, then save the automation. Make sure it shows as active before leaving the page.

Keep in mind: If Meta shows personalization options, you can add a first name—but read the preview before saving.

Test it like a customer

Use a different Instagram account that has not already messaged the business, send a realistic inquiry, and confirm the automatic response arrives and looks right on a phone.

Keep in mind: Click every link. Check the promised response time. Then send yourself a real reminder to personally answer the inquiry.

Test it before you trust it

From another Instagram account, send a realistic first-time DM such as “Hi! Are you available for photos next Saturday?” Confirm the Instant Reply arrives, the next step is obvious, and any inquiry/booking link works. Then check the conversation in Meta Business Suite so you know where the real lead will appear.
